This Privacy Policy explains how we collect, use, disclose, and safeguard personal information when you visit civitaslaw.ca, contact us, or engage us as a client. We comply with PIPEDA and, where applicable, provincial privacy legislation in Ontario.
We collect only the personal information reasonably necessary to respond to inquiries and provide legal services. This may include:
We use personal information to respond to your inquiry, evaluate potential conflicts of interest, provide legal advice and representation, communicate with you about your matter, issue invoices and receive payment, comply with our professional and legal obligations, and improve our website.
Once we are retained, communications about your matter are protected by lawyer-client privilege. We take reasonable steps to keep client information confidential and secure, including through encrypted email where appropriate, secure document storage, and access controls limited to those who need the information to do their work.
We do not sell or rent personal information. We may disclose personal information: to service providers who help us operate the firm (for example, cloud practice-management platforms, accounting software, IT support) under confidentiality obligations; to comply with a court order, subpoena, or other legal requirement; to the Law Society of Ontario in the course of a regulatory investigation; or with your consent.
We keep client files and related records for at least the period required by the Law Society of Ontario (currently a minimum of 10 years after the file is closed for most matters), and longer where prudent. After the retention period expires, files are securely destroyed.
You have the right to access the personal information we hold about you, request corrections, and withdraw consent (subject to legal and contractual restrictions). To make a request, email info@civitaslaw.ca or write to us at the address below.
